Privacy policy

This policy explains what personal information GreenEPOS ("we", "us") handles through this website, www.greenepos.com, and through the GreenEPOS mobile apps, and how you can control it. The commercial terms for GreenEPOS software and support are set out separately in your written agreement; this page is about privacy only.

Who we are

GreenEPOS is a product of Janani Technology Solutions Ltd. Janani Technology Solutions Ltd is responsible (the data controller) for the personal information described here. GreenEPOS provides EPOS software, fitted hardware and support for UK independent retailers. You can contact us about anything in this policy at info@greenepos.com.

What we collect

• Your enquiry. If you use the "Plan my setup" form, we receive your name, business name, email address, telephone number (if you give it), number of shops and whatever you write about your needs. If you email us instead, we receive your email address and whatever you choose to tell us. We use it only to reply to you and to plan your EPOS setup. The form sends it straight to our own back office; it is not shared with any marketing service.
• Your cookie choice. When you answer the cookie notice, we remember your answer so we do not ask again (see below).
• Technical logs. Like any website, the servers that deliver these pages may keep standard technical records, such as IP address, browser type and the pages requested, for security and reliability.

Why we use it

• To answer your enquiry and, if you go ahead, set up and support your shop (performance of a contract, or steps you ask us to take before one).
• To keep the website secure and working (our legitimate interest).
• To remember your cookie choice, which is essential to respecting it.

We do not sell your personal information.

Cookies and similar storage

• Essential. Once you answer the notice, we store one small cookie, greenepos_consent, and one entry in your browser's local storage, greenepos-cookie-consent, to record your choice. The cookie lasts 12 months. These are strictly necessary and do not need consent.
• Analytics. This website does not currently run analytics. If we add it, it will run only if you have chosen "Allow analytics", and we will update this policy first.

You can change your mind at any time with the "Cookie settings" button at the bottom of every page, or by clearing this site's data in your browser.

Who else sees it

We use a hosting provider to deliver this website, and an email provider to receive your messages. They handle information on our behalf and only as needed to provide those services. We share information with others only where the law requires it.

How long we keep it

We keep enquiries and emails only for as long as they are needed to deal with your enquiry or, if you become a customer, to run your agreement, and for as long as the law requires records to be kept. Your cookie choice is kept for 12 months.

Your rights

Under UK data protection law you can ask us to give you a copy of your personal information, correct it, delete it, restrict or object to how we use it, or move it to another provider. To use any of these rights, email info@greenepos.com. If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk.

Our mobile apps

GreenEPOS publishes Android and iPhone apps for shop staff and owners (stock, sales and invoices) and for the till itself. This section explains what they do with personal information on your phone.

• Your account. Signing in sends your email/username and password to your shop's GreenEPOS service to check them. A session token is then kept in your phone's secure storage (Android Keystore / iOS Keychain) so you do not have to sign in every time; it is never shared with anyone else.
• Camera. If you scan a barcode or a supplier invoice, the app uses your camera for that single scan. Photos of invoices you choose to scan are read on your phone itself to pick out their text, and the photo is not uploaded; GreenEPOS does not use your camera for anything else and does not access your photo library unless you deliberately choose a photo to scan.
• Wi-Fi name, not location. With your permission, the app reads the name of the Wi-Fi network you are connected to, so it can recognise which shop you are in and switch to it automatically. When you pair your phone with a shop, that shop's Wi-Fi name and router ID are saved with the shop in your GreenEPOS account so the app can recognise the shop later. Android and iPhone both require "location" permission to read a Wi-Fi name, but GreenEPOS does not read, store or use your GPS location, and this permission can be refused without losing any other feature.
• Face ID / fingerprint unlock. If you turn this on, your phone's own operating system checks your face, fingerprint or device PIN/pattern to unlock the app. GreenEPOS never receives or stores any biometric data itself; the phone only tells the app "yes" or "no".
• People you invite. If you are the shop owner and invite family or staff, the name and email address you enter are stored in your GreenEPOS account so they can sign in, together with a name for each phone you approve.
• Shop data. Sales, stock, invoices and the other shop information shown in the app belong to your employer/company and are handled under their agreement with GreenEPOS, not this website's enquiries above.

You can remove an app's permissions at any time in your phone's Settings, and remove its stored session by signing out or deleting the app. To have your GreenEPOS account and the personal information held with it deleted, email info@greenepos.com from the address you sign in with.

Delete your GreenEPOS account

To delete your GreenEPOS app account, email info@greenepos.com from the email address you sign in with and ask us to delete your account. If you were invited by a shop owner, you can also ask them to remove you under People & phones in the app, which stops your access straight away.

When we delete your account we remove your name, email address, password and your approved phones within 30 days. Shop records such as sales and stock belong to the shop and are kept under the shop's agreement with GreenEPOS; records that the law requires us to keep, such as invoices, are kept for as long as the law requires.

Changes

If we change this policy, we will post the new version here and update the date at the top.
